Immigration in Belgium: when translation is mandatory
Belgium has a legal immigration framework managed primarily by the Office des Etrangers (Dienst Vreemdelingenzaken / DVZ), the SPF Foreign Affairs and the municipalities. These three levels of administration require that all foreign documents be submitted in one of the country's three official languages: French, Dutch or German.
The rule is simple but absolute: any official document written in a foreign language must be accompanied by a sworn translation carried out by a sworn translator registered with a Belgian court of appeal. This requirement applies regardless of the applicant's nationality, their level of French or the apparent clarity of the document.
The immigration procedures that most frequently generate translation needs are:

Family reunification is one of the most common immigration procedures in Belgium. It allows a person legally established in Belgium (Belgian national, EU national or foreigner holding an unlimited right of residence) to bring their close relatives over. The documentary requirements of the Office des Etrangers are precise and non-negotiable.
The documents that must systematically be translated and sworn for a family reunification application are:
- Birth certificate of the applicant (the incoming family member): basic civil identity document, always required
- Marriage certificate: for spouses, essential to prove the matrimonial tie; must be recent if the issuing country provides updates
- Birth certificates of children: for each minor child included in the application
- Criminal record extract: required for adult applicants; must be less than 3 to 6 months old depending on current requirements

A crucial point to note for family reunification: the prior legalisationof documents. For countries that have not signed the Hague Convention (Morocco, Algeria, DRC, Tunisia, among others), civil status certificates must first be legalised by the authorities of the issuing country, then by the Belgian embassy or consulate in that country, before being translated. This preliminary step takes time: plan well ahead before submitting your file.
Naturalisation and regularisation
Belgian naturalisation is the procedure by which a foreigner acquires Belgian nationality after a sufficient period of legal residence (generally 5 years of uninterrupted legal residence, with integration conditions depending on the region). It is one of the most documentarily demanding procedures.
For a complete naturalisation file, the foreign documents to translate generally include:
- The applicant's birth certificate (sworn translation mandatory)
- The marriage certificate if applicable, and the divorce certificate if relevant
- The criminal record from the country of origin (and from all countries of previous residence for more than 6 months)
- Diplomas and training certificates, depending on the profile
- Any relevant foreign court ruling or judicial document
Regularisation of residence (Article 9bis or 9ter) is an exceptional procedure open to people in an irregular situation who can justify exceptional circumstances or serious medical grounds.
