Planning to marry in Leuven - Belgium's premier university city - and holding a foreign certificate of no impediment? Leuven's Dienst Burgerzaken requires a certified sworn translation into Dutch of all foreign civil status documents, including your capacity to marry certificate. TranslateBE provides sworn Dutch translations for Leuven marriage files, accepted by the Leuven commune and all Flemish Brabant municipalities, with delivery in 24-48 hours.
Why Leuven requires a Dutch sworn translation
Leuven is the administrative capital of Flemish Brabant (Vlaams-Brabant). As a Flemish municipality, its civil administration operates exclusively in Dutch. The Dienst Burgerzaken at the Leuven Stadhuis will therefore only accept civil status documents in Dutch or accompanied by a certified sworn translation into Dutch by a translator registered with a Belgian Court of Appeal.
This requirement applies even if you speak fluent French or English, or if your document was issued by a Belgian-recognised institution. A certificate of no impediment issued in Arabic, Turkish, French, Italian, Polish or any other language must be translated into Dutch before submission to the Leuven civil registrar.
Leuven's international community and common language pairs
KU Leuven - one of Europe's oldest and most prestigious universities - draws thousands of international students, researchers and academic staff from across the globe each year. Leuven also hosts numerous international companies and technology start-ups in its imec and LRD ecosystems. As a result, the city has a particularly large proportion of non-Belgian residents compared to most Belgian cities of its size.
The most frequently requested language pairs for certificates of no impediment in Leuven include:
- French-Dutch: for French nationals and Belgian nationals from Wallonia or Brussels who move to Leuven
- Arabic-Dutch: for Moroccan, Algerian, Tunisian and other Arabic-speaking nationals
- Turkish-Dutch: for Turkish nationals
- Chinese (Simplified)-Dutch: for Chinese students and researchers at KU Leuven and imec
- Indian languages (Hindi, Telugu, Tamil)-Dutch: for Indian IT professionals and researchers
- Spanish-Dutch: for Spanish and Latin American nationals
- Romanian and Bulgarian-Dutch: for EU nationals from Eastern Europe
- Japanese and Korean-Dutch: for East Asian students and professionals

FAQ
Frequently asked questions
I am a KU Leuven international researcher - is the marriage procedure different for me?
The civil marriage procedure in Leuven is the same for all residents and non-residents, regardless of their institutional affiliation. KU Leuven itself has no role in the civil marriage registration process. As a foreign national, you will need to submit the standard marriage dossier to the Leuven Dienst Burgerzaken, including a certified Dutch sworn translation of your certificate of no impediment and other foreign-language civil status documents.
My document is in Chinese - how does the translation process work?
Our Chinese-Dutch sworn translators are fully accredited with the relevant Belgian Court of Appeal. For Chinese documents, we translate from both Simplified Chinese (Mainland China) and Traditional Chinese (Taiwan, Hong Kong). Simply upload a clear scan or photograph of your document and we will assign the appropriate sworn translator. Most Chinese certificates of no impediment are one to two pages and can be translated within 24 hours of confirmation.
Does the Leuven civil registrar require the original document or will a copy do?
For the translation itself, a clear high-resolution scan or photograph of all pages of the original document is generally sufficient. However, the Leuven civil registrar may require the original document - or a certified copy issued by the competent foreign authority - to be presented alongside the sworn translation when you submit your marriage dossier in person. We recommend confirming this requirement directly with the Leuven Dienst Burgerzaken before your appointment.
