Multilateral international forums - economic, political, academic - bringing together delegations from dozens of countries: multi-language simultaneous interpreting is essential to ensure that dialogue between nations is genuine dialogue, not a succession of misunderstood monologues.
International forum: multi-language simultaneous interpreting at the heart of dialogue
An international forum differs fundamentally from a conference or roundtable. Its format is open and multi-tiered: plenary sessions with opening addresses, interlocking thematic roundtables running in parallel, workshops, structured networking sessions, expert panels. This complex event architecture requires not one interpreter, but a coordinated team of interpreters, supported by a technical coordinator and professional RSI equipment capable of covering multiple rooms and multiple language pairs simultaneously.
Brussels is one of the world's leading international forum capitals: seat of the EU, NATO, dozens of international organisations, a diplomatic and economic crossroads between Northern and Southern Europe, East and West. Hundreds of multilateral forums of all sizes take place there every year, from the 30-person bilateral diplomatic forum to the 500-delegate regional economic forum.
The interpretation logistics for an international forum must be planned well in advance: identifying the languages needed session by session, assembling a team with the right language combinations, hiring or installing RSI equipment, briefing interpreters on themes and speakers, coordinating with forum organisers for last-minute programme changes. This rigorous preparation is what distinguishes a forum where multilingual communication flows smoothly from one where it becomes an obstacle.

Recommended interpretation mode
- RSI simultaneous interpreting - mandatory for multi-language events : for any forum involving 3 or more languages, simultaneous interpreting with RSI equipment is the only viable solution - delegates listen in real time in their own language without disrupting the flow of sessions
- Interpreter team with rotation every 30 minutes : the international standard (AIIC) requires a team of 2 interpreters per language for any session exceeding 1h30 - rotation maintains quality and prevents cognitive fatigue that degrades interpretation
- Coordination with a technical coordinator : for multi-room forums, a technical coordinator manages audio flows, language channels and interpreters across the different rooms - an indispensable role we can provide or outsource
- Professional RSI equipment available : we offer hire of RSI equipment (booths, interpreter consoles, receivers, headsets) via our partner equipment suppliers, or a fully managed turnkey RSI solution

FAQ
Frequently asked questions
How many interpreters are needed for a 5-language forum over 2 days?
For a 2-day forum in 5 languages with plenary sessions and parallel workshops, the standard calculation is: 2 interpreters per language (rotation) × 5 languages = 10 interpreters for a single room. If the forum has 3 rooms running in parallel, the team can grow to 20-25 interpreters depending on the language combinations covered and programme overlaps.
In practice, we optimise this calculation based on the actual programme: not all rooms are active simultaneously, and not all interpreters cover the same sessions. We draw up a bespoke interpretation plan, session by session, based on your programme.
Who manages the RSI technical logistics for a large forum?
We offer a complete turnkey solution: RSI logistics coordinator, on-site sound technician, equipment installation and testing the day before, real-time technical support during the forum, and teardown. We work with certified partner equipment suppliers (ISO-EN standards) for booths, interpreter consoles and audio distribution systems.
If you already have an AV provider for the forum, we can also integrate into their setup and handle only the coordination of interpreters and the language interface with the technical control room.
Which official UN languages are available (Arabic, Mandarin, Russian, Spanish)?
We cover all 6 official UN languages: Arabic, Mandarin (Simplified Chinese), Russian, Spanish, English and French. These languages are available for simultaneous interpreting to and from French, English and Dutch - the most common pivot languages in our Belgian network. For Arabic, Mandarin and Russian, interpreters are recruited from our extended network of certified professionals based across Europe.
The booking lead time for these less common languages is 7 to 14 working days depending on availability and the length of the assignment. We recommend contacting us as early as possible for forums involving non-European languages.
How do you prepare interpreters for an international forum (glossaries, programme, speakers)?
Preparation is the key to quality in forum simultaneous interpreting. We recommend sending the following at least 5 days before the forum: the full programme with timings and rooms, biographies of the main speakers, working documents (reports, studies, presentations if available), and any existing thematic glossary or lexicon. If your organisation uses proprietary terms, specific acronyms or internal nomenclature, a list of these is particularly valuable.
We systematically organise a coordination briefing with interpreters and forum organisers 24 to 48 hours before the start, to clarify programme points, sensitive topics and last-minute changes. This investment in preparation translates directly into better interpretation quality and fewer requests for clarification during sessions.
