  • Birth certificate: the civil status document required for civil registration with the municipality and for the visa file at the embassy.
  • Admission letter: if written in a foreign language, a translation may be required by the embassy or the OE (rare for letters in English, but sometimes required for other languages).

Critical deadlines and advance planning before the academic year

The Belgian academic year begins in late September for most universities. Enrolment and visa processing deadlines require careful planning:

  • Before end of April: check admission requirements for your target university. Some programmes (medicine, architecture, arts) have entrance examinations or selection processes that close early.
  • May-June: the ideal period for having your documents translated. You have received your admission letter (or are awaiting it) and standard processing times (3 to 5 days) are sufficient.
