Studying in Belgium at universities such as KU Leuven, ULB or UGent requires assembling a complete file with sworn translations of your academic documents. Student visa for Belgium: procedure with the Office des Étrangers

To study in Belgium for more than 90 days, non-EU nationals must obtain a long-stay visa (visa D)for study purposes, then register with the foreigners' register at their municipality within 8 days of arrival. The procedure involves several steps with different actors:

• The Belgian embassy or consulate: the first point of contact for the visa application. The file includes the admission letter from the Belgian university, civil status and academic documents, and proof of financial resources.
• The Office des Étrangers (DVZ/OE): the OE examines the file forwarded by the embassy and makes the final decision on the visa. It checks in particular the authenticity of academic documents.
• The university: KU Leuven, ULB, UGent, VUB, UCLouvain and other institutions have their own international services that may require specific translations for official enrolment, independently of the visa.

Academic documents to translate for university enrolment

Belgian universities and the Office des Étrangers have slightly different requirements, but the academic documents to be translated are generally as follows:

• Secondary school diploma (baccalaureate or equivalent): the document attesting the award of the diploma granting access to higher education in the country of origin. Essential for an equivalence application or enrolment in an undergraduate programme.
• Secondary school academic transcript: grades obtained during all years of upper secondary school (generally the last 3 years). Some universities require transcripts for each year separately.
• University diploma (bachelor's or master's):for students in a master's or doctoral programme. The translation must include the exact title of the degree, the date of award and the distinction if applicable.
• University academic transcript: list of courses taken with ECTS credits and grades. Most universities request both the diploma and the transcript, not one or the other.
• Birth certificate: the civil status document required for civil registration with the municipality and for the visa file at the embassy.
• Admission letter: if written in a foreign language, a translation may be required by the embassy or the OE (rare for letters in English, but sometimes required for other languages).

Critical deadlines and advance planning before the academic year

The Belgian academic year begins in late September for most universities. Enrolment and visa processing deadlines require careful planning:

• Before end of April: check admission requirements for your target university. Some programmes (medicine, architecture, arts) have entrance examinations or selection processes that close early.
• May-June: the ideal period for having your documents translated. You have received your admission letter (or are awaiting it) and standard processing times (3 to 5 days) are sufficient.
